How HPBX handles app, calling, and account data.

This Privacy Policy applies to the HPBX Android app, HPBX Phone, HPBX Webphone, Group Admin, Super Admin, support tools, and related calling services operated by HPBX Networks at thehpbx.com.

Overview

HPBX is a managed business calling platform. The Android app and Webphone allow authorized users to register a business extension, make and receive calls, receive call notifications, and view recent call activity where enabled by the account owner.

HPBX accounts and extensions are usually created by HPBX or by an authorized business account administrator. If your employer, customer, or organization issued your HPBX login, that organization may control your extension, call routing, and access rights.

This policy is intended to clearly explain HPBX data practices for Google Play users and HPBX customers. It should be reviewed by the account owner or legal advisor before final Play Store submission.

Data We Collect

Account and login data

  • Extension number, SIP username, display name, customer or order name, and account role.
  • Authentication data needed to sign in and register the phone service.
  • Session data used to keep authorized users signed in.

Calling and telephony data

  • Caller ID, destination number or extension, received line, timestamps, duration, answered status, hangup reason, and routing metadata.
  • Registration status, transport type, device/network address, app version, and user agent information used to diagnose call delivery.
  • Call recordings when recording is enabled for the customer account or required by the service configuration.

Device and app data

  • Firebase Cloud Messaging or similar push notification tokens used to deliver incoming call alerts and update notices.
  • Device model, operating system version, app version, last seen time, and basic diagnostic information used for reliability and support.
  • Crash or error information if crash reporting is enabled in the app build.

Support and communication data

  • Messages, screenshots, logs, or details you provide when asking for support.
  • Admin actions such as extension refresh, password reset, account setup, or support activity history.

Website advertising and measurement data

  • Public website pages may use Google Ads / Google tag to measure visits, understand ad performance, and track lead form submissions such as reseller requests.
  • This may include browser, device, page visit, referral, and cookie or similar measurement identifiers used by Google to provide advertising measurement.

How We Use Data

  • To provide business calling, SIP registration, call routing, Webphone access, and Android app calling.
  • To deliver incoming call alerts, missed call notices, and app update notifications.
  • To show authorized admins call status, CDR, recordings, and extension health.
  • To troubleshoot calls that do not ring, audio issues, registration drops, gateway issues, and security events.
  • To prevent abuse, bot traffic, fraud, spam, unauthorized access, and service misuse.
  • To comply with legal, billing, tax, dispute, and regulatory requirements where applicable.

HPBX does not sell personal data.

When Data Is Shared

HPBX shares data only when needed to provide or protect the service.

  • Telephony providers and gateways: Call data and audio may pass through carriers, VoIP gateways, and network providers to complete calls.
  • Cloud and infrastructure providers: Hosting, storage, database, monitoring, security, and backup services may process HPBX service data.
  • Push notification providers: Firebase Cloud Messaging or similar services may process device tokens and notification metadata to deliver call alerts.
  • Advertising and measurement providers: Google Ads / Google tag may process public website measurement data to help HPBX understand ad performance and reseller lead submissions.
  • Authorized account administrators: Business admins may see extension status, CDR, recordings, setup status, and activity for their own account.
  • Legal and safety: Data may be disclosed if required by law, to enforce policies, or to protect HPBX, customers, users, or the public.

Android App Permissions

MicrophoneUsed for live voice calls. Microphone audio is transmitted only as needed for calling.
NotificationsUsed for incoming call alerts, missed call alerts, and important app/service update notices.
Network / InternetUsed to register the extension, connect calls, synchronize status, and communicate with HPBX servers.
Bluetooth / Audio routingMay be used by supported Android versions to route audio to headset, speaker, or phone earpiece.
Contacts, if requestedIf a version of the app requests contact access, contacts are used only to help users identify or dial numbers. Contacts are not sold.

Retention

  • Call detail records are normally retained for up to 30 days in HPBX customer portals.
  • Call recordings are normally retained for up to 15 days when recording is enabled.
  • Device registration and push-token records are retained while the extension or account is active and may be removed when no longer needed.
  • Support, billing, fraud-prevention, legal, and security records may be retained longer where required or reasonably necessary.

Your Choices and Deletion Requests

You may request deletion of your HPBX app account data or associated app data using the dedicated deletion page. If your account is managed by a business customer, HPBX may need to coordinate the request with the account owner before removing business call records or disabling an extension.

Security

HPBX uses access controls, authenticated sessions, operational monitoring, and encrypted connections where supported to protect service data. No internet or telephony system can be guaranteed to be perfectly secure, but HPBX works to limit access to authorized users and service operators.

Children

HPBX is a business calling service and is not directed to children. Users should only use HPBX when authorized by their organization or account owner.
